About the event

A big event like the Act.ival for Future can only be implemented with the support of an engaged crew of young volunteers. Sign up for this adventure and join the Act.ival for Future behind the scenes. Over 4 days in March, you will participate in team-building activities, task distribution sessions, safeguarding and logistics briefings and a complete walkthrough the programme and roles.

All Act.ival volunteers will attend this preparatory weekend. You will have the chance to get to know each other as well as to learn more about the outline of the Act.ival and the responsibilities and different tasks during the event. There will also be the possibility to bring up your own ideas and to prepare your tasks for the event.

The meeting will ensure a coordinated, confident and motivated team ready to deliver an inspiring and impactful youth conference.

                                     Crew Roles & Responsibilities

Small-Group Navigators

Your tasks include:

  • Guiding a small group (max. 16 people) through the event schedule
  • Being the first point of contact for questions and support, especially for minors
  • Creating space for connection, sharing and reflection within the group

Programme Support

Your tasks include:

  • Preparing, setting up and changing over rooms for programme sessions
  • Providing basic technical support (e.g. microphone, projector, music)
  • Liaising with facilitators and supporting programme freelancers as needed

Logistics Support

Your tasks include:

  • Supporting set-up and dismantling at all venues during the event days
  • Handling materials, deliveries, signage and wayfinding on site
  • Providing practical support at the hostel and main venues

Kitchen Crew

Your tasks include:

  • Supporting the kitchen and catering logistics (e.g. snacks, buffets)
  • Taking care of water stations and special dietary needs
  • Coordinating with the logistics team on food-related timings and needs

Social Media Support

Your tasks include:

  • Creating live content (photos, short videos, quotes, mini-interviews)
  • Collecting stories and impressions from participants
  • Coordinating with the office team and freelancers to implement the social media strategy

💛 Awareness Team (This role is taken on in addition to your main crew role.)

Your tasks include:

  • Being an additional contact person for awareness and wellbeing during the event
  • Supporting the head of awareness in implementing the awareness concept on site
  • Helping to ensure the event is safe, respectful and youth-appropriate for everyone
